Who we are

The QL City LAN Series is a community-run Quake Live LAN event organised by players, for players. We are the ones responsible for the information described on this page.

What the registration form collects

If you fill in the registration form on our homepage, we receive whatever you put into it:

• Your in-game name (nickname)
• Your email address
• Your room type preference and any preferred roommates you name
• Your T-shirt size, and the player model, country and favourite weapon you would like on the shirt design
• Which tournaments you want to play (CTF, Duel)
• Your answer to the photo and video consent question
• Anything you write in the additional comments box

Only the in-game name, email address and consent answer are required. Everything else is optional, and you can leave out anything you would rather not tell us. Please do not put sensitive personal information in the comments box.

How the form is processed

The form is handled by Formspree, a third-party form service. When you press submit, your entry goes to Formspree's servers and is then emailed on to our organiser inbox at . Formspree stores a copy of the submission in our account there. Their handling of the data is covered by Formspree's own privacy policy.

We do not use analytics, advertising or tracking cookies anywhere on this site. No third-party scripts run on these pages.

Registration is confirmed by the organizers and may be refused or cancelled under the event rules.

Why we need it

We use what you send us purely to organise the event: to plan capacity, allocate rooms and beds, seed and run the tournament brackets, order the correct T-shirt sizes, and email you about your registration and about payment once details are confirmed.

We do not sell your information, and we do not share it with sponsors or anyone else for marketing.

Nicknames, photos and video

LAN events are social and public by nature. If you take part:

• Your nickname may appear in brackets, match results, the results page on this site, and in Discord announcements
• Photos and videos taken at the event may be published on this website, in our Discord server, and in event media such as Twitch streams, VODs and highlight videos

This is what the consent checkbox on the registration form covers. If you would rather not appear in shared photos or video, tell us – say so in the comments box or message us on Discord, and we will do our best to keep you out of published media. Tournament results and brackets will normally still list your nickname, since they are the public record of the competition.

How long we keep it

Registration data is kept while we are organising the event and for a short period afterwards to wrap things up – refunds, prize payouts, and any follow-up. After that we delete the registration list from our Formspree account and our inbox.

Published material outlasts that on purpose: results, brackets, photos and videos stay up as the archive of the event, unless you ask us to remove something.

Your choices

You can ask us at any time to show you what we hold about you, correct it, delete it, or take a photo, video or nickname down from this site or our Discord. Just ask – you do not need to give a reason, and we will not make it difficult.
